"I do a lot of work on ordinary photocopier paper with a BIC mechanical pencil. If I have to travel, I use a Moleskine. I have a thing I made called a "cell calendar" which is just a piece of Bristol board that represents a week's worth of cells -- four-hour contiguous units of time in which the real thinking (and subsequent entropy-schlepping) gets done. When you subtract the irreducible maintenance time of sleep, food, hygiene and chores, I find you can max out on about three of these in a day. Emphasis on max out. When you're flying solo, the thing you consider to be your "actual job" only takes up a sliver of your waking life. With everything else going on, I'm lucky to get one of these in a day, and I might do a three-cell day only a handful of times a year."

I don't view that as a conspiracy though, it's more like "econophysics". There just hasn't been a strong enough alternative yet."

"At the very bottom of our anxious urge to manage time better – the urge driving Frederick Winslow Taylor, Merlin Mann, me and perhaps you – it’s not hard to discern a familiar motive: the fear of death. As the philosopher Thomas Nagel has put it, on any meaningful timescale other than human life itself – that of the planet, say, or the cosmos – “we will all be dead any minute”. No wonder we are so drawn to the problem of how to make better use of our days: if we could solve it, we could avoid the feeling, in Seneca’s words, of finding life at an end just when we were getting ready to live. To die with the sense of nothing left undone: it’s nothing less than the promise of immortality by other means.

But the modern zeal for personal productivity, rooted in Taylor’s philosophy of efficiency, takes things several significant steps further. If only we could find the right techniques and apply enough self-discipline, it suggests, we could know that we were fitting everything important in, and could feel happy at last. It is up to us – indeed, it is our obligation – to maximise our productivity. This is a convenient ideology from the point of view of those who stand to profit from our working harder, and our increased capacity for consumer spending. But it also functions as a form of psychological avoidance. The more you can convince yourself that you need never make difficult choices – because there will be enough time for everything – the less you will feel obliged to ask yourself whether the life you are choosing is the right one.

Personal productivity presents itself as an antidote to busyness when it might better be understood as yet another form of busyness. And as such, it serves the same psychological role that busyness has always served: to keep us sufficiently distracted that we don’t have to ask ourselves potentially terrifying questions about how we are spending our days. “How we labour at our daily work more ardently and thoughtlessly than is necessary to sustain our life because it is even more necessary not to have leisure to stop and think,” wrote Friedrich Nietzsche, in what reads like a foreshadowing of our present circumstances. “Haste is universal because everyone is in flight from himself.”

You can seek to impose order on your inbox all you like – but eventually you’ll need to confront the fact that the deluge of messages, and the urge you feel to get them all dealt with, aren’t really about technology. They’re manifestations of larger, more personal dilemmas. Which paths will you pursue, and which will you abandon? Which relationships will you prioritise, during your shockingly limited lifespan, and who will you resign yourself to disappointing? What matters?

For Merlin Mann, consciously confronting these questions was a matter of realising that people would always be making more claims on his time – worthy claims, too, for the most part – than it would be possible for him to meet. And that even the best, most efficient system for managing the emails they sent him was never going to provide a solution to that. “Eventually, I realised something,” he told me. “Email is not a technical problem. It’s a people problem. And you can’t fix people.”"

"While organised education and deliberate, goal-oriented practice has its place, and is indeed critical, it needs to be balanced with the development of social competence and intrinsic motivation. The vast majority of learning happens in informal social situations within communities of like minded people, where individuals take initiative and learn to work with other people in meaningful settings. Schools may hinder this important avenue of growth and increase stress and anxiety.

The role of informal learning

The importance of informal learning in all areas of life cannot be overstated. For anyone observing people going about their life, it is obvious that every waking moment (and indeed, also sleeping moments) presents experiences which shape our brains, and thus, learning happens. Historically, informal learning has been off the spotlights since it is more difficult to study than organised forms of education. However, during the 21st century, surveys have shown that the majority of learning happens in informal settings[1], and even governmental policies have changed to encourage informal learning[4].

Learning within workplaces can be divided into non-formal and informal learning. If these terms are unfamiliar, here are short definitions:

• Formal education is highly institutionalised, bureaucratic, curriculum driven, and formally recognised with grades, diplomas, or certificates.[1]

• Non-formal learning is organised learning outside of the formal education system.[1]

• Informal learning occurs in community, where individuals have opportunities to observe and participate in social activities.[2]

The clear majority of learning within workplaces is informal[3], even though companies spend huge resources on non-formal training of their employees.

Likewise it can be argued that a large portion of learning that happens in schools stems from informal activities, such as social interactions during recess. The magnitude of this informal learning clearly depends on how strictly pupils and their time use are controlled by the faculty. Most resources in educational systems are spent in the advancement of formal education.

How Finnish schools enable informal learning

Finnish primary schools consistently rank high in various international studies, and produce excellent educational outcomes. While there are several reasons behind the success of Finnish schools, one of their typical features is the large amount of free time pupils are given.

• For every 45 minutes of class time, 15 minutes of recess are provided. Recess is free undirected time, usually spent outdoors.

• 30–45 minutes are reserved each day for lunch, provided by the school.

• Children enter school the year they turn 7, giving them more years of free childhood than in most other educational systems.

• School days are short, starting with 4–5 hours in the lower grades, and growing to 6–8 in higher grades.

• The amount of homework is light, usually between 0–4 hours per week.

• Classroom time often includes group work, project work, and personalised learning activities.

All this generates lots of time in children’s lives where they can independently (or with partial guidance) decide what to do, explore their surroundings, and experience new things. All of this is informal learning and it can cultivate skills such as independence, critical thinking, accountability, social competence, self-efficacy, metacognition, time management, planning, and emotional intelligence.

Balancing academic, social and physical development

Finnish studies on pupils’ hobbies and free time use show that the constructive and positive spirit in classrooms increases as pupils spend more of their free time with each other; as their classmates become closer friends, motivation to attend classes increases; and continuing into higher education is more likely. Results also highlight the importance of non-programmed time, where teens are not supposed to do anything or achieve something. Exploration and experimentation are important. Creative crossing of boundaries of accepted behaviour is also important for the teens’ ethical development.[5] Social competence even as early as age 5 has been shown to be connected with adult life quality and productivity[8].

The effects of physical exercise to cognitive capacity and ability to focus are clear and are changing even workplace practices (e.g. walking meetings). Studies of Finnish students have shown that physical exercise has a positive effect on learning and cognitive functions, such as memory and executive functions, and can possibly affect academic achievement[6].

On the other hand, it is clear that to develop top talent in any field (including sports), young people need a balance of training, competition, and free play and exploration. Focusing too early on serious practice activities that are not enjoyable will damage intrinsic motivation[7].

In countries where schools control their pupils more strictly, opportunities for informal learning are diminished. Children then tend to focus their interests and motivation on their hobbies that happen after school. In some countries, children spend nearly all their waking hours on formal learning tasks, which may produce good academic outcomes, but limits severely the benefits that informal learning could provide. Finnish schools show that an approach that emphasises children’s natural tendencies for exploration and learning, can also provide excellent academic results.


A clear majority of learning for any individual happens in informal settings. While formal education and on-the-job training play a role, they will be more effective if they can acknowledge and accommodate informal learning that individuals will engage in regardless. In practice this means at least giving time for non-directed social activities, reflection, and physical activities. In addition, utilising learners’ own life interests in making formal training more engaging and relevant will increase learning outcomes significantly. Combining formal and informal is at the core of learner-centric approaches."

Why Girls Get Better Grades Than Boys Do - The Atlantic

"This self-discipline edge for girls carries into middle-school and beyond. In a 2006 landmark study, Martin Seligman and Angela Lee Duckworth found that middle-school girls edge out boys in overall self-discipline. This contributes greatly to their better grades across all subjects. They found that girls are more adept at “reading test instructions before proceeding to the questions,” “paying attention to a teacher rather than daydreaming,” “choosing homework over TV,” and “persisting on long-term assignments despite boredom and frustration.” These top cognitive scientists from the University of Pennsylvania also found that girls are apt to start their homework earlier in the day than boys and spend almost double the amount of time completing it. Girls’ grade point averages across all subjects were higher than those of boys, even in basic and advanced math—which, again, are seen as traditional strongholds of boys.

What Drs. Seligman and Duckworth label “self-discipline,” other researchers name “conscientiousness.” Or, a predisposition to plan ahead, set goals, and persist in the face of frustrations and setbacks. Conscientiousness is uniformly considered by social scientists to be an inborn personality trait that is not evenly distributed across all humans. In fact, a host of cross-cultural studies show that females tend to be more conscientious than males. One such study by Lindsay Reddington out of Columbia University even found that female college students are far more likely than males to jot down detailed notes in class, transcribe what professors say more accurately, and remember lecture content better. Arguably, boys’ less developed conscientiousness leaves them at a disadvantage in school settings where grades heavily weight good organizational skills alongside demonstrations of acquired knowledge.

These days, the whole school experience seems to play right into most girls’ strengths—and most boys’ weaknesses. Gone are the days when you could blow off a series of homework assignments throughout the semester but pull through with a respectable grade by cramming for and acing that all-important mid-term exam. Getting good grades today is far more about keeping up with and producing quality homework—not to mention handing it in on time.

Gwen Kenney-Benson, a psychology professor at Allegheny College, a liberal arts institution in Pennsylvania, says that girls succeed over boys in school because they tend to be more mastery-oriented in their schoolwork habits. They are more apt to plan ahead, set academic goals, and put effort into achieving those goals. They also are more likely than boys to feel intrinsically satisfied with the whole enterprise of organizing their work, and more invested in impressing themselves and their teachers with their efforts.

On the whole, boys approach schoolwork differently. They are more performance-oriented. Studying for and taking tests taps into their competitive instincts. For many boys, tests are quests that get their hearts pounding. Doing well on them is a public demonstration of excellence and an occasion for a high-five. In contrast, Kenney-Benson and some fellow academics provide evidence that the stress many girls experience in test situations can artificially lower their performance, giving a false reading of their true abilities. These researchers arrive at the following overarching conclusion: “The testing situation may underestimate girls’ abilities, but the classroom may underestimate boys’ abilities.”

It is easy to for boys to feel alienated in an environment where homework and organization skills account for so much of their grades. But the educational tide may be turning in small ways that give boys more of a fighting chance. An example of this is what occurred several years ago at Ellis Middle School, in Austin, Minnesota. Teachers realized that a sizable chunk of kids who aced tests trundled along each year getting C’s, D’s, and F’s. At the same time, about 10 percent of the students who consistently obtained A’s and B’s did poorly on important tests. Grading policies were revamped and school officials smartly decided to furnish kids with two separate grades each semester. One grade was given for good work habits and citizenship, which they called a “life skills grade.” A “knowledge grade” was given based on average scores across important tests. Tests could be retaken at any point in the semester, provided a student was up to date on homework.

Staff at Ellis Middle School also stopped factoring homework into a kid’s grade. Homework was framed as practice for tests. Incomplete or tardy assignments were noted but didn’t lower a kid’s knowledge grade. The whole enterprise of severely downgrading kids for such transgressions as occasionally being late to class, blurting out answers, doodling instead of taking notes, having a messy backpack, poking the kid in front, or forgetting to have parents sign a permission slip for a class trip, was revamped.

This last point was of particular interest to me. On countless occasions, I have attended school meetings for boy clients of mine who are in an ADHD red-zone. I have learned to request a grade print-out in advance. Not uncommonly, there is a checkered history of radically different grades: A, A, A, B, B, F, F, A. When F grades and a resultant zero points are given for late or missing assignments, a student’s C grade does not reflect his academic performance. Since boys tend to be less conscientious than girls—more apt to space out and leave a completed assignment at home, more likely to fail to turn the page and complete the questions on the back—a distinct fairness issue comes into play when a boy’s occasional lapse results in a low grade. Sadly though, it appears that the overwhelming trend among teachers is to assign zero points for late work. In one survey by Conni Campbell, associate dean of the School of Education at Point Loma Nazarene University, 84 percent of teachers did just that.

Disaffected boys may also benefit from a boot camp on test-taking, time-management, and study habits. These core skills are not always picked up by osmosis in the classroom, or from diligent parents at home. Of course, addressing the learning gap between boys and girls will require parents, teachers and school administrators to talk more openly about the ways each gender approaches classroom learning—and that difference itself remains a tender topic."

"6) Also: I ask my students to give me, by email, a proposal two weeks before the essay is due. I tell them what I think is good about their idea and what they need to watch out for; more often than not I advise them to take only a part of their topic and focus on that. Then, a week later, I have them send me, again by email, a rough draft. Once more I comment briefly with encouragements, warnings, and indications of where they should invest their major energies. This process would be valuable to them even if I gave no comments at all, because it makes them think about their work well in advance of the due date, which gives them the chance to turn ideas over. By the time they turn in a final version, I don’t have to make many comments at all: those who put in the work will have improved significantly, and the others will already know what their problems are. I spend less time that I would have spent in writing extensive comments; I spread that labor out over a longer period, thus making it feel less onerous; and I get better results."

What we can learn from procrastination : The New Yorker
"Ainslie is probably right that procrastination is a basic human impulse, but anxiety about it as a serious problem seems to have emerged in the early modern era. The term itself (derived from a Latin word meaning “to put off for tomorrow”) entered the English language in the sixteenth century, and, by the eighteenth, Samuel Johnson was describing it as “one of the general weaknesses” that “prevail to a greater or less degree in every mind,” and lamenting the tendency in himself: “I could not forbear to reproach myself for having so long neglected what was unavoidably to be done, and of which every moment’s idleness increased the difficulty.” And the problem seems to be getting worse all the time. According to Piers Steel, a business professor at the University of Calgary, the percentage of people who admitted to difficulties with procrastination quadrupled between 1978 and 2002. In that light, it’s possible to see procrastination as the quintessential modern problem."

"Pre-industrial work ... was task-oriented: whether you worked in the fields or town, the rhythm of your working day wasn't determined by a clock, but by Nature and the work you needed to get done. With the rise of the factory system, and the growing specialization of labor within factories, the rhythms of work were defined not by organic tasks, but by machines and the factory itself: you worked a certain number of hours a day, and then you stopped. Work was no longer task-oriented, but time-oriented.

Of course, there are types of work that have always remained task-oriented, even when we're measuring or regulating or standardizing them using time. Cooking is one. Parenting is another. Babies are as demanding as any factory-owner, but as any new parent will tell you, they run very much on their own clocks. But today, when the two are at odds, task-orientation loses out to time-orientation: managers set meeting times for subordinates, some of whom are likely to be young mothers."

Maker's Schedule, Manager's Schedule
"When you're operating on the maker's schedule, meetings are a disaster. A single meeting can blow a whole afternoon, by breaking it into two pieces each too small to do anything hard in. Plus you have to remember to go to the meeting. That's no problem for someone on the manager's schedule. There's always something coming on the next hour; the only question is what. But when someone on the maker's schedule has a meeting, they have to think about it."
